Case Study: OCS
Who Are They?
OCS are a European company manufacturing weighing conveyor belts for shop floor environments. Their weighing devices come in various sizes and models, each with technical specifications and a range of options. Customers across Europe make enquiries for potential purchases, and require proposals in multiple currencies.

What They Needed?
With increasing customer enquiries per day, it was obvious that engineers thumbing through product specifications and option catalogues for the purposes of creating an accurate proposal/quotation was too slow and inefficient. They asked about creating a networked database that would enable fast generation of proposals with accurate multi-currency costs.

The Orchard Solution
Orchard designed a shared Microsoft Access core system holding multi-currency prices and options for each company product. By designing a bespoke application front end, users were able to login securely and not only generate new proposals on-the-fly, but by integrating a customer contact module, the proposal was dynamically created using Microsoft Word with all data populated from the new interface. Each proposal was then tracked (with chase date reminders) and categorised, finally populating the electronic job book that the engineers were used to.

The Results
OCS now generate quotations in less than 5 minutes (massive engineer time saving) and have automatic history of proposals, commission rates and customer engagement details. Order book cashflow has been made more visible and efficient. And with data accessible simultaneously across the network, customers find all engineers within the team able to answer queries and access relevant documents.
